Email best practices

Make sure DocOtto verification codes and document emails reach the inbox instead of spam.

DocOtto uses email to send verification codes, document links, and notifications. A few quick steps help these messages arrive reliably — both for you when setting up your account and for the customers you send documents to.

Before you start

  • Know which email address you signed up with — verification codes go there.
  • Have access to that inbox, including its spam, junk, and promotions folders.
  • If you use a work email, your IT team may control which outside senders are allowed.

Steps

Add DocOtto to your safe senders

Mark messages from docotto.com as 'not spam' and add our address to your contacts. This tells your email provider that DocOtto messages are wanted.

Check spam, junk, and promotions first

If a verification code or document email is missing, search your inbox for DocOtto and check filtered folders before requesting another message.

Ask IT to allow DocOtto (work email)

On a managed or company email, strict filters can quietly block outside senders. Ask your IT contact to allow email from docotto.com.

Tell your customers what to expect

When you send documents, let recipients know to watch for an email from your business via DocOtto so they recognize and trust the message.

Common issues

Verification codes keep landing in spam

Move one message out of spam and mark it 'not spam'. Future DocOtto emails to that inbox are far more likely to arrive normally.

A customer says they never got the document

Have them check spam and search for your business name or DocOtto. You can also resend the request from your workspace once you are signed in.

Helpful tips

  • Use a recognizable sender name and support address so customers trust your emails.
  • Deliverability improves over time as recipients open and engage with your messages.
